IT Support Cost Per User in Uganda
How Ugandan businesses should think about IT support pricing per user — what moves the number, what you get at each tier, and the questions to ask before signing.

"How much per user?" is the first question every business owner asks about managed IT. It is also the second, after they hear a number. The honest answer is that per-user pricing in the Kampala market sits in a wide band, and the band exists because the phrase "IT support" covers very different things.
This guide explains what moves the number, so you can compare quotes that actually compare — and negotiate the coverage you need.
Note on figures: ranges below describe budget bands you will encounter in the Kampala market, not Backspace quotations. Every engagement is quoted after a site assessment. For our published framework, see managed IT services pricing in Uganda.
What "per user" should include — and what usually is not included
A per-user monthly fee typically covers:
- A helpdesk (phone, WhatsApp or email) during business hours
- Remote support for laptops and desktops
- Basic monitoring of servers and network equipment
- User account management — create, remove, reset
- Patching and antivirus management on managed endpoints
Things that often sit outside the base fee — ask explicitly:
| Extra | Why it is separate |
|---|---|
| On-site visits beyond a quota | Travel time and engineer hours |
| New projects — cabling, CCTV, Wi-Fi, migrations | Scoped work, not support |
| Hardware and licences | Pass-through or procured separately |
| After-hours and weekend cover | Different SLA tier |
| VoIP, cloud tenancy administration | Specialist skills |
The quote that looks cheapest is often the one that excludes the most. The quote that looks dearest is often the one where you stop receiving surprise invoices.
What actually moves the number
User count. The usual pattern: more users, lower price per user. Fifteen users will always carry a higher per-head cost than a hundred.
Device mix. Ten laptops in one office is one kind of support load. Fifty mixed desktops across four branches, plus POS terminals and CCTV, is another.
Age and condition of the estate. Old machines generate tickets. If your fleet averages seven years, budget more per user until a refresh lands — the Windows 10 ESU situation is a live example of what ageing Windows estate costs.
Number of sites. Each physical location adds travel, local network issues and on-site time.
Coverage hours. Business-hours-only is standard and cheapest. If your operations run late — retail, hotels, clinics — after-hours cover changes the tier.
Specialist systems in scope. Accounting platforms, ERP, CCTV, VoIP, multi-site VPNs: anything requiring a specialist engineer raises the cost.
Choosing a tier without overspending
Break-fix (no monthly fee). You call when something is broken; you pay per visit or per hour. Cheapest when nothing breaks. Expensive and slow when things break in the middle of month-end. Suitable for very small offices with simple setups.
Basic managed (lowest monthly band). Helpdesk, remote support, AV and patch management, light monitoring. A fit for single-site offices with modern hardware and no compliance obligations.
Standard managed (mid band). Adds on-site quota, network and server monitoring with real alerts, documented backup checks, quarterly review. The band most 20–100 user businesses in Kampala land in — it is where ticket volume, uptime expectations and auditability start to matter.
Full managed (higher band). Everything above plus a virtual CIO relationship: budget planning, vendor management, security reviews, compliance evidence, after-hours SLA. This is the band where you are buying outcomes and paperwork as much as repairs.
Five questions that separate real quotes
- What are the response times, and are they guaranteed in writing? "As soon as we can" is not an SLA.
- How many on-site visits are included per month? And what counts as a visit?
- Is backup monitoring included, and who confirms a restore works? A backup you have never restored is a hope, not a backup — see our backup and disaster recovery guide.
- What happens to our tickets and documentation if we leave? You own your asset list and ticket history.
- Who actually picks up the phone? A local team with an engineer who has been to your office beats a ticket portal alone.
A practical way to budget
Take your user count, pick the tier that matches your coverage hours and site count, and add a contingency line for hardware refresh. Then compare two or three quotes not on price but on what each one includes against the five questions above. The lowest quote that excludes on-site visits is not the lowest cost.
